Trucking Company File Organization in Google Drive

TL;DR: A trucking company's drive needs three trees, not one: loads (rate con, BOL, POD, invoice per load number), drivers (qualification files) and equipment (maintenance by unit). Sort the paperwork you already have into them in one previewed pass, then let workflows file rate confirmations from email and PODs from drivers' phones as they arrive. Billing and factoring stop waiting on missing paperwork.

Small carriers and brokers run on paper that arrives from everywhere: rate confirmations by email, BOLs and PODs as photos from the cab, fuel receipts, maintenance invoices, driver licenses and medical cards. Office staff spend hours renaming IMG_3391.jpg and dragging it into the right load folder, and a load without a signed POD can't be billed.

What folder structure should a trucking company use?

Billing and factoring work from Loads, compliance works from Drivers, and the shop works from Equipment. Put the load number first in every load document's file name so a load's paperwork sorts together. The load folder is covered in detail in how to organize bills of lading, rate cons and PODs.

How long do you keep freight paperwork?

Brokers keep transaction records for three years under FMCSA rules (49 CFR 371.3). Carriers' copies of bills of lading are on a one-year schedule (49 CFR Part 379), though tax and factoring agreements often call for longer. Driver qualification and maintenance records have their own federal requirements; keep Former drivers and retired units in their own folders rather than deleting them.

How do you organize the paperwork already in your drive?

The usual backlog is a "Scans" folder of driver photos and a "Downloads" folder of rate cons with names like RC_88231.pdf.

How do you file rate confirmations from email automatically?

Rate cons arrive by email from dozens of brokers, each in a different layout. A workflow on the dispatch inbox reads them as they arrive:

When an attachment arrives in dispatch@yourcompany.com, save a copy to Loads/Inbox, read the load number, broker, pickup and delivery cities and rate, rename it Load number, Rate Con, and move it into a folder for that load under the current month. If it's a revised rate con for a load that already has one, ask dispatch to approve before filing.

Because the workflow reads the document rather than matching a template, a new broker's layout works on day one.

How do you get PODs from drivers into the right load folder?

Give drivers one upload link instead of asking them to text photos. A file request works from any phone browser, no account needed. A workflow on that folder does the rest:

When a file is added to Loads/Driver Uploads, read the load number and whether the delivery receipt is signed. Rename it Load number, POD and move it into that load's folder. If there's no signature or no readable load number, send a message to the billing team by email.

What mistakes should you avoid?

  • Filing load paperwork by document type. A folder of all BOLs and a folder of all PODs means assembling every billing packet by hand.
  • Accepting PODs only by text message. Photos in a dispatcher's phone don't reach billing. Use one upload link.
  • Mixing driver files with load files. Driver qualification files have their own rules and readers. Keep them separate.
  • Deleting former drivers' files. Move them to Former and keep them for the required period.

What won't it do?

  • It isn't a TMS or ELD. It doesn't dispatch, track trucks, log hours or submit to factoring companies.
  • It doesn't guarantee compliance. It organizes driver and maintenance files; your safety program decides what they must contain.
  • AI can misread a blurry photo. The workflow can flag unreadable PODs instead of guessing, and every change can be undone.
