How Mortgage Teams Keep Loan Files Organized in Google Drive

TL;DR: Give every loan its own folder, named by loan number and borrower, with the same numbered subfolders inside (application, credit, income, assets, property and title, disclosures, conditions, closing). Sort the documents already in your drive into that template in one previewed pass, then let workflows file borrower uploads and emailed documents into the right loan as they arrive. A mortgage file is a moving target. Borrowers send paystubs by email, bank statements through an upload link, and a photo of their driver's license by text. Underwriting adds conditions. The title company emails a commitment. Every document has to end up in the right loan, with a name that tells the next person what it is.

What folder structure should a mortgage team use in Google Drive?

Numbered subfolders keep the order fixed in every loan. Moving a loan from Active to Closed when it funds keeps the working list short. Keep withdrawn and denied applications too: under Regulation B, application records are kept for 25 months after the applicant is notified of the action taken. How should loan documents be named?

Document type, borrower, period or date: Bank Statement - Garcia - 2026-08.pdf, Paystub - Garcia - 2026-09-15.pdf, Appraisal - 14 Elm St - 2026-09-22.pdf. When a borrower sends an updated statement, keep both rather than overwriting. Underwriting may ask for either.

How do you organize the loan files already in Google Drive?

Most teams have a backlog: loans saved to one big folder, borrower documents named IMG_4471.jpg, and closed loans mixed with active ones.

Go through /Loans/Unsorted. For each document, work out the loan number or borrower, put it in that loan's folder under the right numbered subfolder, and rename it Document type, Borrower, Date. Create the loan folder from our template if it doesn't exist.

For each one, read the borrower name, document type and statement period, rename it Document type, Borrower, Date, and move it into that borrower's loan folder under the right subfolder. How do you file emailed loan documents automatically?

Title commitments, appraisals, insurance binders and borrower paystubs arrive by email. A workflow on the processing inbox files them:

When an attachment arrives in processing@yourcompany.com, save a copy to Loans/Inbox, read the borrower, property address and document type, rename it, and move it into the matching loan's subfolder. If it looks like a conditions response, also send a message to the loan's processor in Slack.

Save a Copy is what gives an email attachment a place in the drive; the mailbox itself isn't changed. Send a Message works with Slack and email.

What can you ask across all your loan files?

Once documents are filed consistently, the agent can answer questions that used to take an afternoon:

Does this work with OneDrive, SharePoint or Dropbox?

What mistakes should you avoid?

  • Overwriting updated documents. Keep both the old and new statement. Underwriting may need to see what changed.
  • Filing by date received instead of document type. Underwriters look for the latest two months of statements, not whatever came in on Tuesday.
  • Letting combined PDFs sit unsplit. A six-document scan named statements.pdf hides what's missing. Split it on arrival.
  • Mixing active and closed loans. Move funded loans to Closed so the working list stays short and post-closing knows what's theirs.

What won't it do?

  • It isn't a loan origination system. It doesn't price loans, run AUS, calculate ability to repay, or submit to investors.
  • It doesn't make underwriting decisions. It files and reads documents; people decide what they mean.
  • It doesn't apply retention schedules on its own. Closing Disclosures are kept five years after consummation under Regulation Z (12 CFR 1026.25); deciding when records can be destroyed stays with your compliance policy.
  • AI can misread a blurry photo. Approval steps and undo exist for that.
