Current and Superseded drawings is the folder that prevents expensive mistakes: when a new revision arrives, the old one moves to Superseded the same day. Photos by month keeps thousands of images browsable.

How should construction documents be named?

Spec section numbers in submittal names let you sort by trade. Revision numbers in drawing names make the current sheet obvious.
How do you organize the project files you already have?
Finished and half-finished projects usually leave behind a folder of email exports, phone photos and PDFs with names like scan0042.pdf.

- Keeping old drawing revisions next to current ones. The fastest way to build from the wrong sheet. Move superseded revisions out the day a new one arrives.
- Leaving submittals in email. Approved submittals buried in inboxes can't be found at closeout.
- A different folder structure on every job. People moving between projects waste time hunting. Use one numbered template.
- Photos in one endless folder. Thousands of images with camera names are unusable. File by month, with dates in names.
What won't it do?
- It isn't construction project management software. It doesn't route submittals for approval, track RFI ball-in-court, or manage schedules. It organizes the documents those processes produce.
- It doesn't decide which drawing is current. It can move a revision into place and ask before doing so; a person confirms.
- It won't move files between clouds. If the owner uses SharePoint and you use Google Drive, it organizes each separately.
- AI can misread a document. Approval steps and undo exist for the ones that matter.
