How do tax preparers collect client documents each season?

The workable pattern is one upload link per client, reusable over several weeks, with each document filed under that client and tax year as it arrives and a list of what is still outstanding. Collecting through email means rebuilding that list by hand in a spreadsheet, which is work most practices do not notice they are doing until somebody counts the hours.

What if a client just emails everything instead?

That route has to work too, because some clients will always reply with an attachment. Attachments are captured from email, given a home, read and filed into the same client folder as uploaded ones. A collection process that only works when clients follow instructions is not a process.

Can it read a photo of a W-2 taken on a phone?

Usually, with OCR. Quality depends on the photograph — a flat, well-lit page reads reliably and a dark angled one often does not. One line of instruction about laying the page flat, sent with the link, improves collection more than anything you can do afterwards.

Does it file documents by the year on the form or the date received?

By the tax year printed on the form. A corrected 1099 for a prior year can arrive in the current one, and filing by arrival date puts it in a folder nobody will look in. This is the most common manual misfiling and it is usually discovered under time pressure.

Will it tell me which clients are still missing documents?

Yes, against the list of what each return needs. That list comes from you, since it changes when a client acquires a rental property or a new business. What the system does is compare what should have arrived against what has, per client, on a schedule.

Does this replace tax software?
