The Drive AI reads each form for the student it names and files it under them, including the scanned and hand-completed ones, so a records request does not become an afternoon of searching.

In short
By student, then record type, then year — with enrollment, academic and health-related records kept in separate categories rather than one undifferentiated file, because they are governed differently and requested separately. The Drive AI reads the student name or ID off each form and files it accordingly, including forms completed by hand and returned as scans, which is most of what an enrollment period produces.
What a shared drive cannot do
It does this where the documents already live: a browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, and workflows can watch SharePoint, Gmail, Outlook, Slack or Teams. It runs alongside a student information system rather than replacing it — the SIS holds the record of enrollment, scheduling and grades, and this holds the documents behind it.
The problem
An enrollment period that produces a folder of scan0001.pdf through scan0400.pdf.
A transcript or records request answered by opening files until the right student appears.
Enrollment paperwork in one folder, health forms in another, transfer records in an inbox.
Parents replying with photographs of completed forms that nobody files until later.
How it works
The Google Drive, OneDrive, SharePoint or Dropbox the office already uses, plus the scanner output folder and the inbox forms come back to.
Student, then record type, then year — with the categories that are kept separately named as such.
Each scan is read for the student it names, then filed and named. Handwritten forms are read with OCR.
"Which students have not returned enrollment paperwork?" — answered while enrollment is still open.
What you can ask
What it does
Forms sort under the student named on them, so one child's records are one folder rather than a search across an enrollment batch.
Scanned and hand-completed forms are read with OCR, which is what makes a batch of four hundred scans navigable at all.
Rules can route record categories that your district holds apart to their own restricted location rather than into the general student folder.
Set the filing rules once, and every new document — from the scanner, Gmail or Outlook, Google Drive, OneDrive, SharePoint or Dropbox — is organized by them without anyone touching it.
A browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so an office organizes and searches in place without migrating.
Send one link per family for the forms an enrollment needs. What comes back files under the right student, and what has not is visible.
Find every document held for one student across years and record types, rather than reconstructing it from several folders.
Send consent and permission forms for signing. Signed copies file themselves under the student.
For each role
Registrars answer a transcript or records request from one folder rather than assembling it from an enrollment batch and an inbox.
Office Administrators stop naming four hundred scans by hand each enrollment period, because each one is read for the student it names.
Enrollment Staff see which families still owe forms while enrollment is open rather than after it closes.
Principals know that a student's file is complete without asking somebody to check it.
District Offices keep one filing structure across schools, so a student transferring between them arrives with a legible record.
Use cases
Enrollment closes and the scanner has produced four hundred files named scan0001.pdf through scan0400.pdf. Each one belongs to a different family, and the only thing distinguishing them is handwriting.
scan0001.pdfStudents/Okafor, Daniel/Enrollment/2026-08-14-enrollment-form.pdf
A request arrives for everything held on a student who enrolled six years ago, moved between two schools in the district, and whose paperwork spans a paper era and a scanned one.

Six forms went home with four hundred students. They come back over a fortnight — some in backpacks, some as photographs texted at 11pm, some not at all — and the trip is on Friday.
