Document management for
independent insurance agencies

The Drive AI files claim documents against the right claim number on its own, answers questions across every policy you hold, and collects paperwork from policyholders without a single email attachment.

In short

What makes a document management system work for an independent insurance agency?

The Drive AI reads each incoming document, identifies the claim number, policyholder and document type, and files it automatically — so an agency carrying a few hundred open claims is not relying on every person to follow a naming convention.

What a shared drive cannot do

  • File documents against the right claim or policy on their own, without anyone renaming them first.
  • Search in plain language across every carrier’s format, including scanned paper.
  • Collect documents from policyholders in a way that does not end in somebody’s inbox.

It does this where the files already are: a browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so an agency does not migrate off the storage it already pays for, and it runs alongside an existing agency management system rather than replacing it. Agencies that would rather keep everything in one place can work inside The Drive AI instead.

The Problem

What's costing you time

Claim files everywhere

Documents scattered across emails, carrier portals, desktop, and filing cabinets.

Finding that one estimate

Spending hours searching for a specific document during claim reviews.

High claim volumes

Hundreds of claims with photos, reports, and estimates to track.

Manual organization

Hours spent renaming files, sorting photos, and organizing estimates.

How it works

Set up in minutes

01

Connect where files already live

Point The Drive AI at the Google Drive, OneDrive, SharePoint or Dropbox the agency already uses, or at Gmail, Outlook, Slack and Teams. Nothing moves.

02

Set the filing rules once

Describe how the agency files claims and policies in plain language. Those rules become the workflow every new document runs through.

03

New documents file themselves

Each arrival is read for claim number, policyholder and document type — including scanned paper — and filed accordingly. Rules can pause for approval first.

04

Ask across everything

"Which claims are missing a signed release?" — answered across every file, wherever it is stored.

Features

Built for how you work

Smart Claims Processing

AI reads claim forms, extracts damages, dates, and parties. Auto-organize photos and estimates by claim.

Policy Document Intelligence

Extract coverages, limits, deductibles, and renewal dates from any policy format automatically.

Claim Auto-Organization

Documents automatically sort into claim folders by claim number, type, and status.

Natural Language Search

"Show all auto claims over $10k in Q3" or "Find policies expiring next month" — instant results.

Underwriting Assistant

Ask questions across applications, risk assessments, and supporting documents with instant answers.

Email Integration

Automatically capture claim documents, policies, and estimates from email. Files sync and organize themselves.

Rules for Every New File

Set the filing rules once, and every new document that arrives — from Gmail or Outlook, Slack or Teams, Google Drive, OneDrive, SharePoint or Dropbox — is organized by them without anyone touching it.

Review Before It Files

Any rule can pause for a person to approve it, showing exactly what it is about to do before it does it. Nothing irreversible happens without a preview.

Works Where Your Files Already Are

A browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so an agency can organize, rename and search in place without migrating off its current storage.

E-Signatures for Policy Documents

Send applications, endorsements, and claims forms for signing. Signed copies auto-file into the policyholder's folder.

Collect Claims Documentation

Send policyholders a link to upload photos, police reports, medical records, or repair estimates. Files organize by claim number.

Results

What each role gets

Producers ask across every policy a prospect already holds before a renewal call, without opening each carrier portal in turn.

Use Cases

Just ask

"Find all auto claims filed in Q3 2024"

"Show policies expiring in the next 30 days"

"What are the coverage limits for policy #12345?"

"Find all claims over $25,000 this year"

"Show me applications pending underwriting approval"

"Which claims have outstanding estimates?"

"Find all homeowners policies with flood coverage"

"Show claims with injury reports from last quarter"

The jobs this actually does

Organize Insurance Claim Files by Claim Number

One auto claim arrives as fourteen separate things: the loss notice, six photos from the insured’s phone, a police report, two estimates, the adjuster’s notes and a signed release — each from a different person, on a different day, named whatever their device called it.

Track Certificates of Insurance and the Dates They Expire

The COI spreadsheet is accurate on the day somebody builds it. Then a vendor renews, sends a fresh certificate to whoever asked for the last one, and the spreadsheet quietly describes a policy that no longer exists.

A Filing System for an Independent Insurance Agency

Every agency has a filing system. Most of them exist as an agreement between the two people who have been there longest, and neither of them can say what happens to a certificate for a policyholder who is also a claimant on somebody else’s claim.

FAQ

Questions answered

Does The Drive AI replace an agency management system?

No. The Drive AI sits alongside an agency management system rather than replacing it. An AMS is the system of record for policies, billing and commissions; The Drive AI is where the documents attached to those policies live, get organised and get searched. Agencies typically keep their AMS and use The Drive AI for the claim files, photos, estimates and signed forms that would otherwise sit in email or on a shared drive.

Does an agency have to move its files into The Drive AI?

No. A browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so an agency can organise, rename, search and share the files where they already sit, without a migration. Agencies that would rather consolidate can work inside The Drive AI instead, and both routes use the same filing rules.

How does a document get filed to the right claim automatically?

The Drive AI reads each document as it arrives and identifies the claim number, policyholder name, date and document type from the contents, not the filename — including scanned and photographed paper, which is read with OCR. A repair estimate emailed by a body shop is filed to that claim alongside the photos and the adjuster report, without anyone renaming it. An agency sets the filing rules once, and they apply to every new file from Gmail, Outlook, Slack, Teams, Google Drive, OneDrive, SharePoint or Dropbox.

Is customer and claims data secure?

Yes. The Drive AI encrypts files with 256-bit AES, and does not use customer data to train AI models or share it with third parties. The Drive AI is CASA certified and a Microsoft Verified Partner.

What insurance document types does The Drive AI support?

The Drive AI handles policies, claims forms, FNOL documents, estimates, damage photos, appraisals, applications, loss runs and certificates of insurance, in PDF, image, Word and spreadsheet formats. Scanned documents and photographed paper are read with OCR, so a phone picture of a police report is searchable alongside everything else on the claim.

How do policyholders send in documents?

An agency sends a policyholder a link, and whatever the policyholder uploads through it is filed against their claim or policy automatically. The policyholder does not create an account. Agencies also forward documents from an email address, which is the usual route for carrier correspondence and body-shop estimates.

Can an agency share files back to a policyholder?

Yes. The Drive AI creates secure links to specific documents or folders, with expiry dates and per-link permissions, so a policyholder can see their own policy documents and claim paperwork without an account and without being emailed attachments.
