Workflows

Files that file themselves.
Wherever they are.

Say once, in plain English, what should happen to a file when it arrives. The workflow reads the file, decides, and files it, renames it, or holds it for a person. Every move is on record.

One invoice, start to finish

The judgment call used to be the bottleneck.

Filing was never the slow part. The slow part was someone opening the file to answer a question. Here is one file, replayed from its own record in the app. Scroll.

Say it once

The workflow above started as one sentence. Nobody dragged a box.

It is the assistant you already talk to. Say what should happen when a file arrives and the steps appear on the canvas, wired and named. Change your mind in a sentence and see exactly what was added, changed, and left alone. Try it with a contract or a new-hire packet.

Wherever they are

Your files don't have to move for this to work.

Point a workflow at a folder in Google Drive, OneDrive, SharePoint, or Dropbox and it renames and moves files right there. Nothing is imported first, and nothing outside that folder is ever touched. The contract workflow on this page never leaves SharePoint.

An attachment in Gmail, Outlook, Slack, or Teams has no home yet. The workflow gives it one. Your inbox and your channels stay exactly as they were.

Before you trust it

Every step says what it costs. The workflow asks before it acts.

Instant
Decided from details we already have. Instant, exact, and free.
Reads the file
Opens the file and reads it with AI. Costs a little per file and can occasionally be wrong.
Waits for you
Pauses the workflow until someone approves or rejects it.
Sends outside
Contacts a service outside The Drive AI.

The badges from the canvas, with the note each shows in the app.

It shows you the plan first. An approval pauses the workflow and shows exactly what will happen to the file and why it is asking. “The destination folder doesn't exist yet.” “The AI was only 82% confident.” Approve as shown, or add a note and the plan is redone with your note in charge. Every decision is recorded with who made it.

Start with everything held. Loosen it when you trust it. On day one, every file can wait for a person. Later, switch the step to ask only when unsure. Confident filing into folders you already have goes ahead and is logged. New folders, uncertain matches, and anything destructive still ask.

Afterwards, every file's journey is on record. One feed shows each step, each decision, and anything that needs you. A failed run says why in plain words and can be retried from the step that failed. Any run can be replayed on the canvas, the way the invoice above was.

For teams

Each person connects their own inbox.

An admin sets the workflow up once. Every member is asked to join it with their own inbox or drive, can read each step before deciding, and can leave at any time. Nothing runs through an account until its owner says yes. Approvals go to the people you name, and the monthly file allowance is pooled across the workspace.

What a member sees

Runs on attachments that arrive in your Gmail inbox. Nothing happens until you join, and you can leave any time.

The request, in the app's words.

FAQ

Questions answered

What can it decide from a file?
Anything a careful reader could answer from the document itself. Whether an invoice total is over a limit. Whether a contract carries both signatures and an auto-renewal clause. Whether an I-9 has both sections complete. Which client, vendor, or property a document belongs to. It reads the whole file, not the filename, and can pull named values out of it, such as a total or a renewal date, for later steps to use in names and folders.
Does it move my files out of Google Drive, OneDrive, SharePoint, or Dropbox?
No. A workflow that watches a folder in your cloud storage renames and moves files inside that storage. Nothing is imported unless you add a Save a Copy step, and then only to the place you name. Nothing outside the folder you chose is ever touched. Email and chat attachments have no home yet, so those get one, in The Drive AI or a connected drive.
Can it be wrong?
Steps that read the file use AI, and the badge on the step says so: they can occasionally be wrong. That is why an approval step can hold every file for a person with the plan spelled out, why every move is recorded, and why any run can be retried from the step that failed or replayed on the canvas exactly as it happened.
What happens if nobody approves in time?
An approval waits up to the time you set, three days by default and thirty at most. After that the file takes the Expired path. If you connected nothing to that path, nothing happens to the file, and the expiry is recorded in the decision history.
Which plans include workflows?
Workflows on files uploaded to The Drive AI work on every plan. Connecting Gmail, Outlook, Slack, Teams, Google Drive, OneDrive, SharePoint, or Dropbox needs the Max plan on a personal workspace, or any Team plan. Every file a workflow processes counts once against a monthly allowance, and a run that fails hands its file back.
