Client documents collectedand filed before the deadline.

One link per client instead of nine email threads. The Drive AI reads each form for the taxpayer and the year and files it, so what is still missing is a list rather than a recollection.

The real assistant, filing sample tax preparers documents. Undo works.

In short

How do tax preparers collect and organize client documents each season?

Through one destination per client rather than an inbox, with each document read for the taxpayer, the tax year and the form type and filed on arrival. That matters because collection and tracking are the same problem: a return needs a known set of documents, and the only question anyone asks in February is which of them have not arrived. The Drive AI fills the client folder as documents come in and leaves what is outstanding visible.

Why email cannot do this

  • An inbox is ordered by arrival and mixed with everything else, when what is needed is one client checked against a list.
  • A return's documents arrive over five weeks in separate threads, several as photographs taken on a kitchen table.
  • Tracking who has sent what ends up in a spreadsheet somebody rebuilds by hand every season.

It does this where the documents already live: a browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, and workflows can watch SharePoint, Gmail or Outlook. It runs alongside your tax software rather than replacing it — that prepares the return, and this gets the source documents in and organized before you start.

The problem

What costs you time

  • Nine emails, one return

Documents arriving separately over five weeks, in three threads, none of them named usefully.

  • Photographs of forms

A W-2 shot at an angle on a kitchen table, and a scan of a 1099 that is mostly shadow.

  • Nobody knows what is missing

A parallel spreadsheet of who has sent what, rebuilt by hand every season.

  • The deadline does not move

Chasing documents in the last fortnight, when the client is least responsive.

How it works

Set up once. It files from then on.

01

Send one link per client

Reusable over several weeks, no account for the client to create. Everything they send lands in one place.

02

Describe the filing once

Client, then tax year, then form type. Said in plain English rather than built per client.

03

Documents file themselves

Each arrival is read for the taxpayer, the year and the form type, then filed and named. Photographed forms are read with OCR.

04

Work from what is missing

"Which clients have not sent a K-1?" — reported on a schedule, while there is still time to ask.

What you can ask

Questions, in your own words

  • Which clients have not sent a W-2 yet?
  • Find all 1099s received for this client
  • Show me what is outstanding for this return
  • Find the prior year return for this client
  • Which clients are missing their K-1 documents?
  • Show all engagement letters signed this season
  • Find the mortgage interest statement for this household
  • What arrived this week and for whom?

What it does

Built for how tax preparers works

  • One Collection Link Per Client

Used repeatedly across the season, without an account. Every upload lands under that client and year.

  • What Is Still Outstanding

Against the set a return needs, what has not arrived is a list you can work from rather than something held in somebody's head.

  • Photographed Forms Read With OCR

A W-2 photographed on a phone is read from the page, so it files itself like any other document.

  • Emailed Documents Filed Too

Connect the practice's Gmail or Outlook and a workflow reads attachments that arrive in that inbox and files them into the same client folder as uploads.

  • Rules for Every New File

Set the filing rules once, and every new document — from the collection link, Gmail or Outlook, Google Drive, OneDrive, SharePoint or Dropbox — is organized by them.

  • Works Where Your Files Already Are

A browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so a practice organizes in place without migrating.

  • Review Before It Files

Any rule can pause for a person to approve it, showing exactly what it is about to do before it does it.

  • E-Signatures for Engagement Letters

Send engagement letters and authorisation forms for signing. Signed copies file under the client and year.

For each role

What each person gets

  • Tax Preparers start a return from a folder that is already complete rather than assembling it from an inbox.

  • Solo Practitioners run a season's collection without the admin help a manual process assumes.

  • Front Office stop sorting a shared inbox every morning, because documents file themselves under the client who sent them.

  • Reviewers find the source document behind a figure without asking who filed it or where.

  • Seasonal Firms onboard temporary staff into one structure rather than a convention that lives in somebody's memory.

Use cases

The jobs this actually does

Collect Tax Documents From Clients Without Chasing Them Through Email

A return needs eleven documents. The client sends four in one email, one as a photo taken at an angle, two more a fortnight later replying to the wrong thread, and then asks whether you got everything.

Keep Workpapers Separate From Source Documents and Deliverables

Three years later somebody asks what the depreciation figure was based on. The folder holds the client's documents, the preparer's working schedules and the delivered return, in one list, sorted by name.

Organize Prior Year Returns So Next Season Starts With Them

Every return starts by finding last year's. It is in a folder named after the season it was prepared in, under a filename that says "final", next to two other files that also say final.

FAQ

Questions answered

How do tax preparers collect client documents each season?
The workable pattern is one upload link per client, reusable over several weeks, with each document filed under that client and tax year as it arrives and a list of what is still outstanding. Collecting through email means rebuilding that list by hand in a spreadsheet, which is work most practices do not notice they are doing until somebody counts the hours.
What if a client just emails everything instead?
The collection link is how a request is answered: clients upload through it, with no account needed. Some clients will send documents to your inbox anyway, so connect the practice's Gmail or Outlook and a workflow reads attachments that arrive there and files them into the same client folder as the uploaded ones. Connecting an inbox comes with the Max plan or any Team plan.
Can it read a photo of a W-2 taken on a phone?
Usually, with OCR. Quality depends on the photograph — a flat, well-lit page reads reliably and a dark angled one often does not. One line of instruction about laying the page flat, sent with the link, improves collection more than anything you can do afterwards.
Does it file documents by the year on the form or the date received?
By the tax year printed on the form. A corrected 1099 for a prior year can arrive in the current one, and filing by arrival date puts it in a folder nobody will look in. This is the most common manual misfiling and it is usually discovered under time pressure.
Will it tell me which clients are still missing documents?
Yes, against the list of what each return needs. That list comes from you, since it changes when a client acquires a rental property or a new business. What the system does is compare what should have arrived against what has, per client, on a schedule.
Does this replace tax software?
No. Your tax software prepares and files the return. The Drive AI gets the source documents collected, read and organized before you start, and keeps them findable afterwards. It is the intake and the filing cabinet, not the calculation.
