SolutionsProperty Management
Leases, inspections and vendor invoices, filed by property and unit.
The Drive AI reads the address off each document and files it under the property and unit it belongs to, so a portfolio of two hundred units does not depend on anyone naming files correctly.

In short
How should a property manager organize leases, inspection reports and vendor invoices?
Property first, then unit, then document type — because every question a property manager is asked starts with an address. The Drive AI reads the property address, unit number, date and document type off each document and files it into that structure, so a lease, the inspection that followed it and the invoice for the repair all land under the same unit without anyone typing an address.
What a shared drive cannot do
- File a document under the right property and unit on its own, from the address printed on it rather than the name it was given.
- Read a lease end date off the lease and tell you which tenancies expire in the next sixty days.
- Catch the vendor invoices and inspection reports that only ever existed as an email attachment.
It does this where the documents already live: a browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, and workflows can watch SharePoint, Gmail, Outlook, Slack or Teams for anything new. It runs alongside AppFolio, Buildium or Yardi rather than replacing them — those hold the ledger, and this holds the paperwork behind it.
The problem
What costs you time
Files per property add up fast
Leases, inspections, maintenance logs, vendor invoices — multiplied by every unit you manage.
Finding the right document
Tenant asks about their lease terms. You spend 10 minutes digging through folders.
Manual filing after every task
Every repair request, invoice, and renewal means more time spent organizing, not managing.
Invoices buried in email
Vendor invoices and inspection reports arriving as attachments nobody files until month end.
How it works
Set up once. It files from then on.
Connect where documents already land
The Google Drive, OneDrive, SharePoint or Dropbox the office already uses, plus the inbox vendor invoices and inspection reports arrive in.
Describe the structure once
Property, then unit, then document type — said in plain English rather than built as a folder tree per building.
New documents file themselves
Each arrival is read for address, unit, date and type, then filed. Scanned and photographed paper is read with OCR.
Ask across the portfolio
"Which leases expire before March and which of those units have an open work order?" — answered across every property at once.
What you can ask
Questions, in your own words
- Show all leases expiring in the next 60 days
- Find the inspection report for unit 12B at Maple Grove
- What maintenance was done on the HVAC at 400 Pine St?
- Show all vendor invoices from ABC Plumbing this year
- Which tenants have outstanding lease renewals?
- Find the insurance certificate for our roofing contractor
- Show all properties with fire inspection due this month
- What are the lease terms for tenant Johnson at unit 3A?
What it does
Built for how property management works
Filed by Property and Unit
Documents sort into a property, unit and document type structure from the address printed on them, not from what the file was called.
Email Attachment Capture
Vendor invoices, inspection reports and tenant correspondence arriving by email are captured and filed to the right unit.
Rules for Every New File
Set the filing rules once, and every new document — from Gmail or Outlook, Slack or Teams, Google Drive, OneDrive, SharePoint or Dropbox — is organized by them without anyone touching it.
Works Where Your Files Already Are
A browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so an office organizes and searches in place without migrating off its current storage.
Lease Dates Read From the Lease
Start and end dates are taken off the document, so the question of which tenancies expire next quarter is answered from the leases themselves.
Search the Whole Portfolio
"What maintenance was done on the HVAC at 400 Pine St?" — answered across every property, unit and vendor at once.
Review Before It Files
Any rule can pause for a person to approve it, showing exactly what it is about to do before it does it. Nothing irreversible happens without a preview.
E-Signatures for Leases and Notices
Send leases, renewals and addenda for signing. Signed copies file themselves under the unit they belong to.
Collect Documents From Tenants and Vendors
Send a link for a renters insurance certificate, a W-9 or a completed inspection. What comes back files under the right unit or vendor.
For each role
What each person gets
Property Managers answer a tenant's question about their own lease while still on the phone, instead of calling back after digging through a folder.
Owners ask what was spent on one building this year, and on what, without waiting for somebody to assemble it.
Maintenance pull the last three work orders and the inspection report for a unit from a phone, standing outside it.
Leasing Agents see which tenancies end in the next sixty days, read from the leases rather than from a spreadsheet somebody maintains.
Accounting reconcile vendor invoices against properties and periods without opening each attachment to find out which building it was for.
Teams work from one shared structure with role-based access, so maintenance sees work orders without seeing leases.
Use cases
The jobs this actually does
Organize Leases by Property, Unit and Tenancy
A tenant asks whether they are allowed a second cat. The answer is in an addendum signed eleven months ago, attached to a renewal that replaced the original lease, in a folder holding four documents all called "lease signed".

File Vendor Invoices Against the Property They Belong To
The plumber sends one PDF for the month: three call-outs, two buildings, one total. It arrives as a reply to a text-message thread forwarded into email, and month-end is in four days.

Organize Inspection Reports and the Photos That Come With Them
The deposit dispute arrives in November about a move-out in July. The inspection form is filed. The forty photographs that prove the carpet was already stained are in a phone belonging to someone who left in September.

FAQ
Questions answered
- How should a property manager organize leases, inspections and vendor invoices?
- Property first, then unit, then document type, with every document named date-first in ISO form. Every question a property manager gets asked begins with an address, so the address has to be the top level. Vendor documents that belong to the company rather than a job — W-9s, insurance certificates — are the exception and belong in a vendor folder instead.
- Does The Drive AI replace AppFolio, Buildium or Yardi?
- No. Those hold the ledger — rent, arrears, work order status, owner statements. The Drive AI holds the documents behind it: the signed lease, the inspection report, the vendor invoice as it arrived. It runs alongside a property management system rather than standing in for one.
- Does an office have to move its files?
- No. A browser extension puts The Drive AI inside Google Drive, OneDrive and Dropbox, so documents are organized, renamed and searched where they already sit. Workflows can also watch SharePoint, Gmail, Outlook, Slack and Teams. Nothing is migrated and existing links keep working.
- How does it know which unit a document belongs to?
- It reads the address and unit number off the document. A lease, an inspection report and a plumbing invoice all state the property they concern, which is why they can be filed without anyone typing an address. A document that names no unit — a building-wide invoice, say — files at the property level instead.
- Can it tell me which leases are expiring?
- Yes. Lease start and end dates are read off the lease itself, so the list of tenancies ending in the next sixty days comes from the documents rather than from a spreadsheet somebody has to keep current. A scheduled check can report them before the renewal window closes.
- What about photographs from inspections?
- Photos carry no readable address, so they are filed by the upload they arrived in rather than by their contents. In practice this means a per-unit or per-inspection upload link, and the batch stays together under the right unit.
