How to Scan and Auto-File Documents From Your Phone

Founder and CEO, The Drive AI

TL;DR: Scanning is the easy half. Every phone can turn paper into a PDF. The hard half is what happens next: the file is called something like Scan_2026-10-15T14-32-07.pdf and sits wherever it landed. To have scans filed for you, scan into one folder and put a workflow on that folder that reads each new scan, names it after what's printed on it, and moves it where it belongs. In The Drive AI you set that up by saying it to the assistant, from the phone.

Why do phone scans end up in a mess?

A scanner app captures pages. It doesn't know that this page is a receipt from the hardware store, that one is page two of a lease, and the next is a letter from the tax office. So it names them all by date and leaves them in one place.

Most people then do one of two things. They rename and move every scan by hand, which works until a busy week, or they stop and let the scans pile up in a folder they'll search through in April.

What makes filing automatic is a rule that runs on every new scan without you: read it, decide what it is, name it, move it.

How do you scan a document with The Drive AI?

  1. Open the The Drive AI app and go to the folder you want the scan in.
  2. Tap the scan button at the bottom right of your files, just above +.
  3. Hold the phone over the page. Edges are found and the page is straightened for you; keep going for up to 20 pages.
  4. Tap Save (Done on some Android phones). The pages become one PDF in the folder you were in.

Once it's uploaded, the text on the page is read, so you can find the scan later by what it says ("the receipt from Home Depot") rather than by its file name. How many pages of each scan are read depends on your plan.

Scanning works on the free plan. A scan is saved as a PDF, and PDFs are among the document types every plan accepts.

How do you make scans file themselves?

Make one folder, say Scans, and always scan into it. Then open the assistant in the app and describe what should happen to each new file there:

When a new file lands in Scans, read it. If it's a receipt, name it
vendor, date and amount, and move it to Receipts/2026. If it's a
contract, name it after the other party and move it to Contracts.
Anything else goes to To sort.

The assistant turns that into a workflow and shows it to you as a card before anything is saved. Approve it, and from then on each scan is handled shortly after it lands. In the app you can watch each run, and approve or reject anything the workflow stops to ask you about.

Under the hood, that sentence becomes four steps:

StepWhat it does
File UploadedStarts the workflow when a file arrives in Scans
Ask AI About the FileSorts it into the branches you named: receipt, contract, anything else
RenameNames it from what's printed on the page
MovePuts it in the folder for its branch

Each step is explained in the workflow steps guide. The canvas where you can drag steps around is on the web; on the phone you build and change a workflow by asking.

What should scans be named?

A good scan name answers "what is this?" without opening it. The pattern that holds up is date, who, what:

2026-10-12 Home Depot receipt 84.17.pdf
2026-09-30 Lease, 14 Oak Street, signed.pdf
2026-10-03 IRS notice CP14.pdf

Putting the date first in year-month-day order means the folder sorts itself by date in any file browser. Tell the workflow the pattern in plain words, the way you'd tell an assistant, and it reads those details off each page. Receipts follow the same idea; organizing receipts for tax season goes deeper on the folder side.

What if you scan several documents in one go?

Sometimes you scan a stack: three receipts and a letter as one 12-page PDF. Filing that as one file loses three of the four documents. A Split Document step cuts a scan into separate files where each document begins, and each piece then goes through the naming and filing above. Splitting scanned documents automatically covers how it decides where to cut and what happens to the original.

Does it work with Google Drive or OneDrive instead?

Yes, if that's where your files live (and if you're choosing between apps, the best AI file manager apps for iPhone and Android compares them). A workflow can watch a folder in a connected Google Drive, OneDrive, SharePoint or Dropbox as well as one in The Drive AI. Connected drives come with the Max and Team plans.

If you scan with another app, such as your drive's own scanner, and it saves into a watched folder, the workflow files those scans too. The workflow doesn't care which app made the PDF.

Frequently Asked Questions

Can my phone scan documents to PDF without an app?

Yes. On an iPhone, the Notes and Files apps share a built-in document scanner. On Android, the Google Drive app and Files by Google both have one, and Google Drive's scanner can suggest a title. They capture pages well, but each scan still lands in the one folder you chose, so filing it is up to you. The best document scanner apps compares ten of them.

Is a scanned PDF searchable?

Only if its text has been read. A scan is a picture of a page until OCR turns the picture into text. The Drive AI reads scans when they're uploaded, so you can search for words printed on them. Several popular scanner apps, Genius Scan and Scanner Pro among them, only do this on a paid plan; searching inside scanned PDFs explains the difference.

Can AI sort scanned receipts automatically?

Yes. A workflow can read each scanned receipt, name it after the vendor, date and amount, and move it into a folder by year or category. You describe the rule once and it runs on every new scan.

What happens if the AI can't tell what a scan is?

It goes wherever you told it to send the rest. That's why the example above ends with "anything else goes to To sort": a blurry or unusual page waits there for you instead of being filed somewhere wrong. A workflow can also stop and ask a person to approve before it moves a file.

Do I need a paid plan to auto-file scans?

No. Scanning and workflows are on every plan, including Free, which includes a small number of workflow files each month. Paid plans include more, and watching a connected Google Drive, OneDrive, SharePoint or Dropbox folder needs Max or Team.

Does the app work on iPhone and Android?

Yes, both. Your files and workflows are the same on the phone, the web and the desktop app, so a scan you make on the phone is already filed by the time you open your laptop.
