OneDrive Storage Full? How to Free Up Space

Founder and CEO, The Drive AI

TL;DR: OneDrive is full when your Microsoft cloud storage is over quota, and on a free account that 5 GB also holds your Outlook.com attachments. The Recycle Bin counts too, so deleted files keep using space until you empty it. The "Free up space" option on your PC doesn't help: it only clears your computer's disk. Find the largest files, delete what you don't need, then empty the Recycle Bin.

Disclosure: The Drive AI publishes this guide and makes a file agent that works in connected OneDrive accounts. Every Microsoft fact below comes from Microsoft's support pages, checked in October 2026. The fix is usually one you can do yourself.

Why is my OneDrive storage full?

Your Microsoft account's cloud storage is over its quota. On a free account that is 5 GB, "shared across your files and photos in OneDrive, attachments in Outlook.com and your Microsoft 365 apps." Files in the OneDrive Recycle Bin also count, so space doesn't come back when you delete. It comes back when you empty the bin. (Microsoft Support)

On a personal account, that includes synced files, camera roll photos, screenshots, and backed-up Desktop, Documents and Pictures folders. Microsoft also names a less obvious cause: "A folder shared with you caused your account to exceed its storage quota." On a shared Microsoft 365 subscription, someone you share it with can push the account over too. (Microsoft Support)

Does "Free up space" in OneDrive free up cloud storage?

No. Free up space is part of Files On-Demand. It turns a file on your computer into an online-only file, so it stops taking up room on your disk. Microsoft is explicit: "changing a file to online-only doesn't delete it from your OneDrive." The file still sits in the cloud and still counts against your quota. (Microsoft Support, Windows)

That's the usual reason "free up space" seems not to work: it solves a different problem.

Your problemWhat fixes it
Your PC or Mac is low on disk spaceRight-click a file or folder in File Explorer or Finder and choose Free up space
OneDrive says your cloud storage is fullDelete or move files out of OneDrive, then empty the OneDrive Recycle Bin on the web
Outlook.com can't send or receive mailClear OneDrive and Outlook.com attachments, since they share the same 5 GB on a free account

The same option appears in Finder on a Mac, and Storage Sense on Windows can apply it automatically. (Microsoft Support, Mac) Neither changes your cloud quota.

Why is OneDrive storage full but no files are there?

The space is usually in places the file list doesn't show. Check these, in order:

  • The OneDrive Recycle Bin. "Your recycle bin also contributes to your cloud storage usage." Emptying your computer's Recycle Bin or Trash "is not the same as emptying your OneDrive Recycle bin." (Microsoft Support)
  • Outlook.com attachments. On a free account they share the same 5 GB as your files, so a mailbox full of attachments can fill OneDrive without a single large file in it.
  • Camera roll backup. Microsoft suggests checking that your backed-up camera roll "isn't full of unwanted videos, screenshots, or social media images."
  • A recent cleanup. "After you delete unwanted files, it might take up to 24 hours for your quota to update."
  • On a work or school account, version history. Every saved version of a file is stored, and Microsoft's admin guidance warns that keeping too many "can lead to high quota consumption from versions." Your administrator sets those limits. (Microsoft Learn)

Microsoft's personal-account pages don't say whether version history counts against storage, so this guide won't claim it. And on work accounts, the SharePoint second-stage Recycle Bin isn't the culprit many guides suggest: "The first-stage Recycle Bin contributes to the storage-used metric while the second-stage Recycle Bin does not." (Microsoft Support)

How do you see what is taking up space in OneDrive?

OneDrive has a largest-files view. On a personal account, open Manage your OneDrive storage to see what's using space; Microsoft's "view the largest files" link opens a search of your OneDrive sorted by size. On a work or school account, select Storage used in the lower-left corner of OneDrive on the web. (Microsoft Support)

In the Windows sync app, select the OneDrive icon, the gear, Settings, then Manage storage, which "opens a largest files page" sorted by size.

For mail, Outlook.com shows storage per folder in its settings. Microsoft suggests you "sort each folder by size to find items that use the most space." (Microsoft Support)

How do you free up space when OneDrive storage is full?

Work from largest to smallest, and empty the Recycle Bin last. Most of the space usually sits in a few big files, not thousands of small ones.

Step 1: Open the largest files list

Use Manage storage or Storage used as above. Note the top 20 or so files and the folders they live in.

Step 2: Move or delete what you don't need

Start with ZIP files and other archives, which Microsoft names, then videos. If a file matters but needn't be in OneDrive, download it elsewhere first and check it opens. Copies are a common culprit; to clear them, see how to find duplicate files in OneDrive.

Step 3: Clean up Outlook.com attachments

Deleting an attachment on its own isn't enough: delete the email that carries it. Then empty Deleted Items, because it "counts against your mailbox storage quota until you empty it manually." Empty Junk Email too. (Microsoft Support) To keep an attachment, save it before deleting the message; our guide to find old email attachments covers locating them.

Step 4: Empty the OneDrive Recycle Bin on the web

Sign in to OneDrive on the web, open Recycle bin and select Empty recycle bin. This gives the space back, and it's permanent, so restore anything you deleted by mistake first. Allow up to 24 hours for the quota to update. If you're still over, delete more or buy more storage.

Can you get files back after emptying the OneDrive Recycle Bin?

Not from OneDrive. Microsoft says: "You can't restore files or folders after they've been permanently deleted from the OneDrive recycle bin." (Microsoft Support)

Until then, you have a window:

AccountHow long deleted files stay in the Recycle Bin
Personal Microsoft account30 days
Work or school account93 days, unless an administrator changed it

There's one catch on personal accounts: "If your recycle bin is full, the oldest items will be automatically deleted after three days." (Microsoft Support) So delete in checked batches, not all at once.

If you deleted files from the OneDrive folder on your computer, look in the Windows Recycle Bin or Mac Trash too. Files deleted from the cloud don't appear there. For bigger mistakes, such as a mass move gone wrong, see how to undo a bulk move in OneDrive.

What happens if your OneDrive storage stays full?

Services stop working, then it gets worse. Microsoft's storage quota page says:

  • OneDrive: "You can't upload, edit, or sync new files, including files from your camera roll." Existing files stay, read-only.
  • Outlook.com: "You can't send or receive email if you exceed either your cloud storage quota or mailbox storage quota." Mail sent to you bounces, and senders have to send it again later.
  • Teams: "You can't send or receive messages that contain attachments."
  • After three months: "your OneDrive account is frozen."
  • After six months: "Microsoft might delete your OneDrive and all files in it." The page adds: "Deleted files can't be recovered."

(Microsoft Support)

A frozen account isn't lost yet. Microsoft says to "delete files or buy more storage to get back under your storage quota," and to contact support if the account is still frozen after 48 hours. How does The Drive AI help clear a full OneDrive?

The native steps are enough for most people. They get slow on a large, messy account: the largest-files list shows single files, not which folder holds most of the space.

The Drive AI's file agent works inside a connected OneDrive. You ask in plain English, for example:

What is taking up the most space in my OneDrive? Show me the 20 largest files and how much each top-level folder uses.
  • It measures first. It finds files under any folder by type, size or date, totals their size, and summarizes a folder's whole subtree: counts, bytes, file types and date range.
  • It finds identical duplicates by Microsoft's own content hash, largest reclaimable space first, and lists look-alikes separately to compare. Look-alikes are never removed automatically.
  • Removals are one plan you approve. Nothing moves until you approve the preview, and the change can be undone. Deleted files go to OneDrive's own Recycle Bin, so they still count against your storage until you empty it, and Microsoft's 30 or 93 day recovery window still applies.

The limits. Connected drives come with the Max and Team plans. Work or school accounts need your Microsoft 365 administrator to approve The Drive AI once, and there undo can need SharePoint access; otherwise you restore from the Recycle Bin on the web. Emptying the Recycle Bin and buying storage stay with you. Frequently Asked Questions

Why is my OneDrive storage full when I deleted everything?

Deleted files go to the OneDrive Recycle Bin, and Microsoft counts the Recycle Bin toward your storage. Empty it on OneDrive on the web, not just on your computer. On a free account, Outlook.com attachments share the same 5 GB, and the quota can take up to 24 hours to update.

What does "Free up space" mean in OneDrive?

It makes a file online-only. The copy on your computer is removed, the file stays in OneDrive, and it downloads again when you open it. It frees space on your PC or Mac, not in your OneDrive cloud storage. To reduce cloud usage you have to delete or move files out of OneDrive.

Why can't I delete files when OneDrive storage is full?

Being over quota stops uploads, edits and syncing of new files, but Microsoft says existing files stay in place, read-only. Deleting on OneDrive on the web and then emptying the Recycle Bin is the way back under quota. If the account is frozen, Microsoft says to delete files or buy storage, then wait up to 48 hours.

Do Outlook attachments count toward OneDrive storage?

Yes, on a free Microsoft account. Microsoft says the free 5 GB is shared across your OneDrive files and photos, Outlook.com attachments and your Microsoft 365 apps. Your Outlook.com mailbox has its own separate 15 GB of email storage, but attachments draw from the shared cloud storage.

How long do deleted files stay in the OneDrive Recycle Bin?

Thirty days on a personal account and 93 days on a work or school account, unless an administrator changed it. On personal accounts, if the Recycle Bin is full, Microsoft deletes the oldest items after three days. Once you empty the Recycle Bin, the files can't be restored.

A full OneDrive is rarely a mystery once you sort by size and check the Recycle Bin. If the account is too large to sort by hand, ask The Drive AI where the space went, or paste the same request into Claude or ChatGPT with our connector added, and approve a cleanup plan before anything moves.
