How to Automatically Sort Your Downloads Folder
Founder and CEO, The Drive AI
TL;DR: You can sort a Downloads folder automatically in three ways. Built-in views (Finder's sort and Stacks on a Mac, File Explorer's Group by on Windows) change how the folder looks but move nothing. Folder automations and rule apps (Shortcuts, Automator, Hazel, File Juggler, DropIt) move files by name, type or date. A workflow in The Drive AI reads each new file and files it by what it is, such as client and year.
Disclosure: The Drive AI publishes this guide and makes one of the tools in it. The Mac and Windows steps come from Apple's, Google's and Microsoft's own help pages, checked in October 2026. Third-party apps are described from their own websites.
Downloads fills up because every browser and chat app saves there by default. Either sort what lands there, or make less land there.
How do you automatically sort your Downloads folder?
Decide what "sort" means first. To see the newest files and group PDFs together, a built-in view does it and moves nothing. For files to leave Downloads and go into real folders, you need something that watches the folder: a folder automation, a rule app, or a workflow.
| Option | Runs when | Sorts by | Moves files | Deletes files |
|---|---|---|---|---|
| The Drive AI workflow | Each new file, while the computer is on | What the file says: client, document type, date inside it | Yes | Only if you add that step |
| Finder sort and Stacks (Mac) | Always, as a view | Kind, date, tags | No | No |
| Shortcuts folder automation (Mac) | An item is added to the folder | Whatever the shortcut checks | Yes | If you build it to |
| Automator Folder Action (Mac) | An item is added to the folder | Whatever the workflow checks | Yes | If you build it to |
| File Explorer Group by (Windows) | Always, as a view | Date, type, size, name | No | No |
| Storage Sense (Windows) | On its schedule, once you turn it on | Days since a file was opened | No | Yes, from Downloads if you set it |
| Hazel (Mac) | Files in watched folders | Your rules | Yes | If a rule says so |
| File Juggler (Windows) | Files in monitored folders | Rules, including keywords and dates in the content | Yes | If a rule says so |
| DropIt (Windows) | On a timed scan of monitored folders, or on drop | Name, size, date, content | Yes | If a rule says so |
How do you sort the Downloads folder on a Mac?
Start with Finder's own sorting, which keeps itself up to date. Open Downloads, choose View › Show View Options and pick a Sort By order, such as Date Added. Apple's Mac User Guide notes that the setting sticks: sort a folder by Date Added and it's still sorted that way next time (Apple, Sort and arrange items in the Finder). In icon view, View › Clean Up By › Kind arranges files by type.
If downloads end up on the desktop, Stacks group them there: click the desktop and choose View › Use Stacks (Control-Command-0). Apple says stacks can be grouped by kind (images, PDFs), by date, or by Finder tags (Apple, Organize files in stacks).
Both are views: they make the pile readable but don't empty it.
Step 1: Send downloads somewhere better
Each browser has its own download setting.
- Safari: choose Safari › Settings, click General, then pick a folder from the File download location pop-up menu (Apple, Download items from the web).
- Chrome: open Settings › Downloads and click Change next to the location, or turn on Ask where to save each file before downloading (Google Chrome Help). This works the same way on Windows.
Asking every time is the most manual form of sorting, and the most reliable for a few important files a day.
Step 2: Move files as they arrive
macOS has two ways to run something when a file lands in a folder.
- Automator Folder Action. Apple's Automator guide describes a Folder Action as "a workflow attached to a folder in the Finder. When items are added to the folder, the workflow runs and the files are used as input to the workflow" (Apple, Automator User Guide for macOS Sequoia). Choose File › New › Folder Action, pick Downloads, and add filter and move actions.
- Shortcuts folder automations. Since macOS Tahoe, Shortcuts can run an automation when an item is added to, modified in or removed from a folder, as Jason Snell describes at Six Colors (2025). Apple's own Shortcuts for Mac guide doesn't list the folder trigger yet as of October 2026, so check your Mac's Automation menu.
Both sort by what a rule can see: name, extension, size and dates. "Every .dmg goes to Installers" works. "Every Acme invoice goes to Clients/Acme/2026" works only if Acme names its files consistently.
How do you sort the Downloads folder on Windows 11?
Open Downloads in File Explorer, choose Sort › Group by and pick a detail such as Date modified or Type. Each folder remembers its own view. Like Finder's sort, this is a view; nothing moves.
Step 1: Move the Downloads folder itself
If Downloads should live on another drive, right-click Downloads in File Explorer, choose Properties, open the Location tab and click Move. Windows asks whether to move the existing files too. Check each browser's own download setting afterwards.
Step 2: Decide whether Storage Sense may delete downloads
Storage Sense is a cleanup tool, not a sorter, and it deletes. Microsoft's page is plain about it: under Delete files in my Downloads folder if they haven't been opened for more than:, you "choose when files from your Recycle Bin or Downloads folder are deleted." Downloads is left alone until you set that option, and Storage Sense is off by default. Turn it on under Start › Settings › System › Storage (Microsoft Support, Manage drive space with Storage Sense).
Leave it off if a contract you saved and never reopened could be in there. Deletion by age doesn't know which file mattered.
Which apps sort the Downloads folder by rules?
You write "if this, then move there", and the app applies it to every file.
- The Drive AI (Mac and Windows). A workflow watches the Downloads folder once you share it from the desktop app, and your rule is one sentence instead of one rule per pattern: "invoices into Finance by vendor, installers into Apps, everything else by type." It reads each new file, renames it if you ask, and moves it, creating folders as needed. It runs while the computer is on and catches up on files that arrived while it was off. Local folders are on the Max plan or any Team plan.
- Hazel (Mac). Noodlesoft says Hazel "watches whatever folders you tell it to, automatically organizing your files according to the rules you create" (noodlesoft.com). It's paid, with a free trial.
- File Juggler (Windows). Its site says it "monitors any folder on your computer and reacts to the files you want", with an example rule that moves every downloaded PDF into a PDF folder. It can also look for keywords or dates in a file's contents (filejuggler.com).
- DropIt (Windows). Free and open source. You filter files by name, size, date or content and associate one of 21 actions; it can also scan monitored folders at a set interval (dropitproject.com). The latest version on its site is from 2018.
Classic rules are fast and predictable, but someone has to maintain one rule per pattern, and downloads rarely follow patterns; a workflow that reads the file is the way around that. To compare rule apps with AI tools side by side, see the best AI file organizer roundup.
How does The Drive AI sort a Downloads folder?
You share the folder once, and a workflow reads each new file and files it by what it is. The files stay on your disk throughout.
Step 1: Share the Downloads folder
Install the desktop app for Mac or Windows, open Settings › Agent and click Share a folder…, then pick Downloads. Choose Read documents if you want files sorted by what they say, or Names and dates only to keep document text out of the index. Sharing folders from a computer comes with the Max plan or any Team plan; local folders has the details.
Step 2: Clean up the backlog with one plan
Ask the agent in plain words:
Sort my Downloads folder: invoices and receipts by vendor and year, contracts by client, installers into one Installers folder.
It shows one plan: how many files move, a sample of new folders and names, and what it couldn't place. Nothing moves until you approve. Moves and renames undo as one change. If you also ask it to delete installers, those go to the Mac's Trash or the Windows Recycle Bin, where you restore them by hand; undo in the app doesn't bring them back.
Step 3: File new downloads with a workflow
From now on, file every new download in this folder by client and year.
The agent turns that into a workflow, shows you what it built, and does nothing until you allow it. Per The Drive AI's docs, the workflow's trigger is the shared folder on your device: it starts once for each file that lands there. Its Move step reads the file and works out the folder from your instruction ("to the client's folder, then by year"), creating folders that don't exist yet. A Rename step can name the file after its contents, and Skip duplicate files ignores exact copies of a file already handled.
The workflow runs while the computer is on and the app is running. Files that land while it's off are filed when it reconnects. To review uncertain cases, add an Ask a Person to Approve step set to Only when unsure: confident filing into existing folders goes ahead and is logged, while new folders and unsure matches ask you first.
The same file workflows run on Google Drive, OneDrive and Dropbox.
Where do downloads from email and ChatGPT end up?
In the same folder. An attachment downloaded from Gmail or Outlook in a browser goes to the browser's download location, and so does a file downloaded from ChatGPT. If you're hunting for one, find old email attachments walks through where they land, and where ChatGPT, Claude and Gemini files go covers what each AI app saves and where.
Before you sort, to check what's taking space, find large files on a Mac or PC, and to clear repeats first, find duplicate files on your computer.
Frequently Asked Questions
Can I auto sort files into folders by date?
Yes. On a Mac, a Shortcuts folder automation or an Automator Folder Action can move each new file into a folder named for its date, and Hazel does it with a rule. On Windows, File Juggler and DropIt filter by date. In The Drive AI, a workflow can file by the date inside a document, such as an invoice date.
Can files be sorted into folders based on the filename?
Yes. Every rule tool here can match a name: "contains invoice" or "ends in .dmg". That works when the sender names files consistently. When names are like document.pdf or scan001.pdf, a rule can't tell what they are, so a tool that reads the content, such as a workflow in The Drive AI, does better.
Does Storage Sense delete files in Downloads?
Only if you set it to. Storage Sense is off by default, and when it's on it leaves Downloads alone until you choose a period under "Delete files in my Downloads folder if they haven't been opened for more than". Once set, it deletes downloads not opened within that period. It doesn't sort them.
Is there a built-in way to sort Downloads on a Mac?
Finder can sort and group Downloads by Kind or Date Added, and the setting sticks to the folder. To move files automatically, use an Automator Folder Action, or a Shortcuts folder automation on macOS Tahoe and later. Both run when an item is added to the folder.
Does sorting with The Drive AI upload my downloads?
No. The files stay on your disk. The Drive AI keeps a catalogue of names, paths, sizes and dates and, if you choose Read documents, indexes document text, which is processed in the cloud. A file's bytes are streamed from your computer only when it's read or copied.
For a folder that only needs to be readable, Finder's sort or File Explorer's Group by is enough. When you want files to leave Downloads and land where they belong, share the folder from the desktop app, approve one plan for the backlog, and ask for a workflow for everything that arrives after.
